I’d like to understand how your company manages supplier onboarding and compliance forms when you are acting as the supplier to another business. These documents often come in various formats, and I’m exploring solutions to automate as much of this process as possible. Are there any tools or approaches you’ve found effective for handling this? I’ve identified three potential tools that could help automate the process of filling in these forms. We’ve already had a demo with one of them, which looks very promising. They also offer a free trial, which we haven’t started yet due to holidays on our side, but I’ll keep you posted on our experience.

The three tools are:

inventive.ai – to be reviewed

I completely understand this challenge, as managing 300+ requests annually with a small team is overwhelming, especially with the format variety. I have found that AI-powered document processing tools make the biggest difference.

If you are open to a tool, then look for a solution that combines OCR with intelligent data extraction to handle all formats (PDFs, scans, spreadsheets, emails, screenshots, etc.) automatically. This eliminates almost all manual entry and catches errors early.

Things like: Automated validation and compliance checks that flag missing or inconsistent information upfront, smart routing for approvals so documents don't sit in queues, an integration with your other critical systems to avoid duplicate entry as well as supplier self-service portals.

AI solutions deliver value through efficiency gains, but the real daily impact is eliminating repetitive work and improving cross-functional visibility.

Katalin, current there is not a single tool to handle the constant changes in vendor creation, evaluation, risk assessment and onboarding in general. Let me know if you wish to review a template, currently working on to make this process easy and compliance for several industries. M Mejias

Thank you for your response, Marianela.<br>To clarify, I’m looking for a tool that can manage incoming registration forms from other companies when we are acting as their supplier. These are typically the forms that Procurement teams issue to their future vendors to complete. Thank you
