First, this is part of working in a global environment. I also think we should be more discrete and selective regarding the meetings we schedule. Are they adding value?

When setting up meetings, try to find a mutually convenient time for all participants. In some instances, this is unavoidable, and individuals have to make concessions to meet at selected times. Lastly, standing meetings should be held at dedicated times so participants can plan accordingly.

I am based in Sydney, Australia, and have been managing a team in London, Copenhagen, and San Diego for the past five years. Initially, it was challenging due to the various time zones we operated in. However, this difficulty ultimately helped me establish effective communication practices. Currently, we have significantly increased our sharing and communication frequency.

Each week, every leader records a 2-minute Loom video providing updates to the rest of the team. Additionally, we conduct weekly stand-up meetings in each region and utilize shared documents with comments for regular progress updates. As a leader, I compile all of this information into a weekly email for my leadership team, ensuring that everyone remains connected to our shared goals.

- Survey the participant availability to find the most suitable time zone and take turn over time.
- Record the meeting for those who might miss it.
- Share folders for presentation, documents, and details of follow up work.

KiwiQA, being a globally distributed team operating across different time zones, faces a unique challenge when it comes to meetings. However, we have developed effective strategies and approaches to ensure seamless collaboration and productive communication among team members.

First and foremost, At KiwiQA we recognizes the importance of respecting everyone's time and schedules. The company strives to find meeting times that are convenient and reasonable for all team members, taking into consideration their respective time zones. This demonstrates a commitment to inclusivity and acknowledges the value of work-life balance.

To facilitate effective communication, we are leveraging various technological tools and platforms. Video conferencing software, such as Zoom or Microsoft Teams, enables face-to-face interactions and enhances the sense of connection among team members despite the physical distance. Additionally, collaboration tools like Slack or Microsoft Teams chat channels allow for real-time communication and quick updates, fostering a sense of unity and teamwork.

In order to build strong relationships and foster a positive team culture, At KiwiQA recognizes the significance of occasional face-to-face interactions. The company organizes periodic team retreats where team members from different locations can come together, meet in person, and engage in team-building activities. These gatherings provide an opportunity to strengthen personal connections, enhance trust, and establish a sense of camaraderie that transcends geographical boundaries.

Hope this will helps
